Because ‘We’ve Always Done It This Way’ isn’t a business strategy.


If you work in IP, you’ve probably noticed something over the last few years: everyone is being asked to do more, faster, and with less budget.  


The industry is changing.


Not in a dramatic overnight “everything is different now” kind of way (although sometimes it certainly feels that way!) but in a steady, growing-pressure kind of way. The expectations on IP teams have shifted massively over the last few years, and they’re continuing to shift.


Clients want more transparency, more reporting, faster turnaround times, better visibility, and greater value for money. Firms are under pressure to improve profitability and efficiency while still maintaining high-quality work and service levels. In-house teams are being asked to manage increasingly global portfolios with leaner teams and tighter budgets. And sitting over all of it is the growing conversation and pressure around automation, AI, digital transformation, and operational optimisation.


At the same time, the administrative and procedural side of IP is becoming more complex, not less. Different jurisdictions continue to evolve their rules and systems. Filing volumes continue to grow globally. Deadlines remain unforgiving. Data accuracy matters more than ever. Clients expect instant access to information and reporting. And many firms are still trying to manage all of this using processes and systems that were originally built for a very different era of IP practice.


That combination is exactly why I started Clearflow IP Consulting Limited.


After years working within the industry, particularly with IP administration and processes, I realised something that I don’t think gets talked about enough in the IP profession: operational efficiency has become just as important as legal expertise.

That doesn’t mean the legal side matters less, far from it. But increasingly, the firms and teams that thrive are the ones that can combine strong technical and legal capability with streamlined operations, good systems, effective workflows, accurate data management, and clear visibility across their portfolios.


The reality is that IP professionals are spending huge amounts of time managing processes rather than progressing work.


There are still too many duplicated tasks. Too many manual reminders. Too many disconnected systems. Too many spreadsheets quietly holding together critical parts of portfolio management. Too much reliance on institutional knowledge sitting with one or two people. Too much time lost trying to pull together reports that should already exist.


But most teams are so busy dealing with the day-to-day workload that there’s very little time to step back and ask bigger questions like:


  • Why are we doing this process this way?

  • What could be automated?

  • What actually adds value for the client?

  • What information are we tracking that nobody uses?

  • Where are the biggest operational risks?

  • Are our systems helping people or slowing them down?

  • Could this take two steps instead of twelve?


That’s the space I wanted Clearflow IP Consulting to sit in.


Not traditional “consulting” in the corporate buzzword sense. More practical, operational, hands-on support focused on making IP administration and workflows more efficient, scalable, and sustainable.


Because the truth is, the operational side of IP is becoming strategically important but most teams don’t have the capacity to take on such projects whilst still fighting fires on a daily, sometimes hourly, basis.


Take reporting, for example. Clients increasingly expect real-time visibility over their portfolios, deadlines, spend, filing trends, and status updates. Firms are expected to provide more tailored reporting while also keeping costs competitive. That requires good data hygiene, reliable systems, and efficient internal processes, not just legal knowledge.


Or look at AI and automation. There’s a huge amount of discussion right now about how AI will impact the legal profession, but in IP administration specifically, I think we’re only just beginning to see where the real opportunities are. Not replacing people, but reducing repetitive administrative burden.


At the same time, there’s another challenge happening across the industry: people are stretched.


IP administration and formalities professionals hold enormous amounts of operational knowledge, but the workload pressures are growing. Teams are expected to move faster and do more while maintaining near-perfect accuracy in a profession where small mistakes can have significant consequences. That creates an environment where efficiency is no longer just “nice to have.” It becomes essential for sustainability and growth.


Many IP teams are reaching a point where the old ways of working are becoming difficult to scale. Portfolio sizes are growing. Client expectations are growing. Data requirements are growing. But headcount and available time often aren’t growing at the same pace.


Something has to become more efficient.


And honestly, this is the side of the industry I genuinely enjoy.


I like a project I can get my teeth into. I like untangling messy workflows. I like looking at processes and asking whether they actually make sense. I like identifying bottlenecks, improving visibility, simplifying systems, and making things feel more manageable for the people using them every day.


I like to make a difference. 


And I think the firms that approach operational improvement proactively, rather than reactively, will be in a much stronger position over the next five to ten years.


That’s ultimately why Clearflow IP Consulting exists.


To help IP teams actually take on those projects and work more clearly, efficiently and sustainably in an industry that is becoming increasingly complex and fast-moving.


This blog will probably become a mix of thoughts on the evolving IP landscape, administration and formalities challenges, process optimisation, legal tech, AI in IP, portfolio management, operational strategy, and the occasional frustration about workflows that somehow still involve four separate spreadsheets and a manually updated Word document - because if you know, you know.


And if the last few years have shown us anything, it’s that good IP operations are no longer happening quietly in the background. They’re becoming a core part of how successful firms and teams operate.
